Payments, Cancellations and Refunds
Trip Cost and Fees: $5975 (US). Round trip airfare to Cusco (and a possible overnight on the way in Lima) is not included. Single supplement (on a first come, first served basis): $985 (US).
Amazon Extension: $1190 (US). Round trip transportation from Cusco to Puerto Maldonado airport is not included. Single supplement (on a first come, first served basis): $200 (US).
Deposit and Payment Schedule: A non-refundable deposit of $1000 is due with registration, plus a $200 non-refundable deposit if you intend on going to the Amazon. A second payment of $2500, plus a $400 payment if you are going to the Amazon, is due by August 14, 2020. The final balance of $2475 (as well as the single supplement and the remaining payment for the optional trip to the Amazon) will be due January 15, 2021. Please read the cancellation and refunds section carefully so that you understand the policy.
Small Group Supplement: We will take a minimum of 10 and a maximum of 20 travelers. If we end up with 13 or fewer people, you will be charged a small group supplement of $300 at the time of your final payment.
Price Includes: The trip price is based on two persons sharing a room with two twin beds with a private bath. Trip cost also includes all ground transportation, starting with your arrival in Cusco, three delicious meals a day, with the exception of 3 dinners and 2 lunches on your own, charming, clean, and comfortable accommodations throughout the trip, all activities described in the itinerary, the services of a True Nature Journeys guide, local guides, writing workshops almost every day, yoga at Munay Sonqo, tips for restaurants and drivers, pre-tour information, and a donation on your behalf to a Peruvian children's school.
Not Included: Round trip flight to and from Cusco, overnight accommodation in Lima, if necessary for your flight itinerary, laundry, massage, body work and spa services, three dinners and two lunches, optional tips for local guides, personal, medical or trip cancellation insurance, souvenir shopping, personal phone calls, bottled water, alcoholic drinks, extra snacks, extra taxis, and anything extra you’re inspired to do that’s not included in the itinerary.
Amazon Included: Round trip transportation by land and river from Puerto Maldonado airport to Inkaterra Reserva Amazonica, daily buffet breakfast and a la carte lunches and dinners, bottled water in the room, tea time, Inkaterra Explorer Guide service, entrance fees to Lake Sandoval, guided boat and hiking excursions and 4.5 miles of hiking trails, Rainforest by Night tour, Inkaterra Canopy Walkway Tour, all other excursions listed in the itinerary, 10% service charge to the hotel.
Amazon Not Included: Lodging in Cusco the two days before the Amazon extension, round trip flight from Cusco to Puerto Maldonado, spa services, bar, binocular rental, and private tours not listed in the itinerary.
Itinerary: All activities on this tour are subject to change. The itinerary may be adjusted slightly to take advantage of special events that may occur. No one is obliged to attend any tours, meetings, excursions, or seminar. However, no refunds will be made for any missed activities. If you leave the tour at any time, for any reason, you are fully responsible for your expenses and safety.
Cancellations and Refunds: The initial $1000 non-refundable deposit (or $1200, if you signed up for the Amazon Extension) will be forfeited in all cases. A cancellation fee of $2225 (this includes your initial deposit) will be collected between August 15, 2020 and January 15, 2021; $2500 will be retained if you are going to the Amazon. After January 15, 2021, there will be no refunds. Exceptions to this cancellation policy cannot be made for any reason, including personal emergencies. After this point, travel insurance will provide your only option for recouping your investment in the trip.
We reserve the right to cancel the trip if it is not meeting the trip minimum. If we cancel, everything you've paid us will be refunded. For other expenses you incur for this trip including but not limited to flights, ground transportation, supplies or equipment, we strongly suggest holding off purchasing flights or other large expenses until we confirm in writing that we have reached our minimum. In case you need to cancel for reasons such as illness, medical condition or caregiving, you will also need to purchase trip cancellation insurance in order to get a refund.
There will be no refunds for leaving the retreat early or arriving late. Further, there are no refunds for any part of the program that you do not attend or participate in. Although we do our best to avoid this, it may occasionally be necessary for The Writer’s Journey, LLC, or True Nature Journeys LLC to cancel a retreat due to insufficient registration or any other cause. If a trip is canceled due to low enrollment, you will be notified at least 60 days in advance, and your entire payment will be refunded to you within 14 days after the cancellation. Refund of payments made constitutes full settlement, and releases Laura Davis and The Writer’s Journey, LLC, and True Nature Journeys LLC from any further liability. In the rare event that the Writer’s Journey, LLC, and True Nature Journeys LLC must cancel a trip, Laura Davis, The Writer’s Journey, LLC, and True Nature Journeys LLC are not responsible for any additional expenses incurred, such as non-refundable airline tickets or passport fees.
Travel Insurance: Because of requirements from our local vendors in Peru, travel insurance to cover any medical expenses incurred during this trip is required. It is possible that your current health insurance covers medical incidents and cost of evacuation that occurs outside of the U.S., but travel insurance is easy, not too expensive, and also includes trip cancellation coverage and coverage if your baggage is lost or stolen. Most companies require that you get the insurance within 2 weeks after signing up.
We highly recommend that you choose an insurance plan that covers medical coverage, trip evacuation, and trip cancellation in case illness or injury prevents you from going on the trip. Your initial deposit or this trip is not refundable and further refunds are only available on a graduated basis according to our cancellation policy. After January 15, 2021, the only refunds offered for this trip will be through travel insurance. Trip cancellation insurance is the best way to protect your investment.
More information about insurance will be available online as soon as you complete your registration and will also be sent out in your confirmation packet.
We will photograph group members and group activities for use in PR for future trips and Laura's daily blog of the trip. No pictures will be taken of any intimate or personal sharing. Please notify Laura if she is not free to use photographs of you.
Organizer - Participant Contract
The Writer’s Journey, LLC, Laura Davis, Karyn Bristol, True Nature Journeys LLC, and their agents, associates, or other cooperating agencies act only in the capacity of agent for the participation in all matters relating to transportation and/ or all other related travel services and assume no responsibility whatsoever for injury, loss or damage, to person or property in connection with any service, including but not limited to damages resulting directly from: acts of God, detention, annoyance, delays and expenses arising from quarantine, medical emergencies and evacuation, strikes, thefts, pilferage, force majeure, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, government restrictions or regulation, discrepancies or change in transit over which it has no control. On advancement of deposit the depositor agrees to be bound by the above recited terms and conditions. Prices subject to change without notice, due to currency fluctuations and/or other causes.
Cancellation fees and penalties are defined above. No partial refund or credits will be given for unused services. The organizer reserves the right to accept, retain, or cancel any prospective or actual member of the tour at any time, at any place, and for any reason, at our discretion. Organizer will not reimburse participants for any substitute arrangements they make on their own. Deviations from the pre-paid itinerary are at the participants’ expense.
Payments: Trip cost is based on a minimum number of ten participants. If the minimum number is not met, The Writer’s Journey, LLC, and True Nature Journeys LLC reserves the right to cancel the trip. In the case of a trip cancellation, you will receive a full refund. The Writer’s Journey, LLC and True Nature Journeys LLC, is not responsible for any additional expenses incurred, such as nonrefundable airline tickets or passport fees.
Release and Assumption of Risk
I am aware that during the trip that I am participating in under the arrangements of The Writer’s Journey LLC, True Nature Journeys LLC and their agents or associates, certain risks and dangers may occur, including, but not limited to the hazards of hiking, accident or illness, forces of nature and travel by air, automobile, bus, train or other conveyance. I consent to and agree not to hold The Writer’s Journey LLC and True Nature Journeys LLC responsible should any of their suppliers fail to provide the travel services I have purchased. I, on behalf of my representatives, heirs, successors, and assigns do hereby completely release and forever discharge The Writer’s Journey LLC, True Nature Journeys LLC, any affiliate, and their present and former members, principals, contractors, agents, employees, successors, and assigns from all claims, rights, demands, actions, obligations, liabilities, and causes of action of every kind and character, known or unknown, mature or unmatured, which may have now or in the future arising from any act or omission or condition occurring related to the travel services which I have purchased. The terms hereof shall serve as a release and assumption of risk in addition on behalf of any minors accompanying me. I have read and agreed to these conditions, especially noting the policy on cancellation and refunds on this sheet. I am aware that should I choose not to purchase insurance coverage as put forth under “Insurance” above, I will be liable for all costs in the case of cancellation, trip delays, damage or loss of baggage and medical emergencies whatsoever. Any controversy or claim arising out of or relating to this Agreement, or the making, performance or interpretation thereof, shall be settled by binding arbitration in Santa Cruz, California, in accordance with the rules of the American Arbitration Association then existing, and judgment on the arbitration award may be entered in any court having jurisdiction over the subject matter of the controversy.
